FREQUENTLY ASKED QUESTIONS

Can I try the service before I commit to it?

Yes. We offer a no quibble 300 minutes of dictation trial. That’s 5 full hours of audio which works out at around three days of work for a typical fee earner. You are under no obligation after the trial to sign up for the service.

How long does it take to get set up?

Once you have signed up it takes around 4 hours usually to start the trial service. Whenever we can, we will get you going right away.

What do I need to give you to get started?

You only need to be able to send us the files actually. However, if you provide us with your template letters and memos and other documents you regularly use we can usually be more effective more quickly, however, it’s up to you.

How safe is my data?

We keep your data secure in two ways. We employ the most stringent data security steps and actively monitor these as well as high level physical security to our premises. We require all staff to swipe in and out of the building with security tags as well as finger print scans to enter the work area. Additionally, we only retain work data for a month before we delete it from our storage servers. This allows us to monitor work for quality, send you missed files or amend recent work, deleting it as quickly as we can after completion.

What if I lose the files you sent to me?

We can re-send files to you for 30 days after the transcriptions are completed, however, after that we delete the files for security and data protection reasons.

How do I get my files to you?

The simplest was is by email. We can accept files by ftp or by use of folder synchronisation software, whichever you choose. You can let us know which staff are authorised to send us the files and we will provide them with the email address to send the audio files to.

I don’t have the equipment to start transcribing; can you help me get what I need?

Yes we can typically equip a workstation with software and hardware for under £100 with no ongoing costs. If you need transcription equipment please give us a call.

What kind of software can I use?

You can use almost anything that records an audio file in one of the supported formats. Some people use professional digital dictation software and others simple sound recordings. We really don’t mind as long as the audio quality is good.

Do I have to buy specialist equipment?

Not if you don’t want to! You can use a simple headset that you might use with an internet telephony service like Skype. You can also purchase very inexpensive USB controlled voice recorders or professional handheld dictation machines. Software even exists for recording on Mobile PC’s and Blackberries. Just call if you need any advice.s
